Policy – Winding River Players Long-Distance Telephone Usage

Principle: Winding River Players believes that a business phone is a requisite for doing business and for establishing a presence in the community. We also recognize that non-local members may have occasional need to make a personal, production related long-distance call and as a courtesy to those members establish this policy.

Intent: This policy will provide definitions, criteria and guidelines around the long-distance telephone usage from the WRP Building.

Definitions:

WRP – Winding River Players, Inc
Board – WRP Board of Directors
Member – Any individual engaged in a current production or conducting WRP Business.
Long-Distance – Any telephone toll call outside the local calling area.
Local Calls – Any telephone call inside the local calling area.

Policy:

Out-going calls

Personal, non-WRP related calls of any sort are prohibited. This is our business phone and must be treated as such.

Local, non-toll Business calls – Unrestricted

Long-distance Business Calls shall be brief and to the point. Toll-free numbers shall be used wherever possible and a telephone address book or list containing important numbers, including the Building Manager, emergency numbers, officers, Board members and the current production staff and cast members shall be kept for easy reference. It shall be the responsibility of every member to see that this is legible and current. Examples of lonmg-distance business calls include, but are not strictly limited to:

Long-distance Personal Calling is a privilege and courtesy extended to non-local members for production-related communication. Abuse of this privilege will be determined by the Board and may result in the member being required to reimburse WRP for the call. In-Coming Calls

The telephone will be equipped with a electronic answering making to handle calls when the building is not occupied.

It is the duty and responsibility of every WRP member to act as receptionist as needed. This includes checking the answering machine if they are the first to enter the building, writing down the messages from the machine and responding or forwarding the messages appropriately.

If you are in the building and the phone rings, please answer it and deal with the call unless to do so would seriously interrupt the rehearsal process.

Remember, this phone may evolve into a box office number, so answering the phone with a pleasant, “This is the Winding River Players information line. How may I help you?” will be great PR and establish a professional presence to the caller.
